Check-in begins at 3:00 pm on Thursday, May 7 and the first official President’s Club 2026 event is the opening reception from 6:30 - 9:30 PM CET (Central European Time). When booking your air travel, Balboa will secure flights that arrive in Florence or Pisa by 3:00 pm CET on May 7, allowingplenty of time for transportation to the Hotel (the airport is approximately a 1 hour journey to the Hotel). The Closing Gala Dinner will take place al fresco along the cobblestone streets of Castelfalfi. The atmosphere is elevated but not overly formal, so cocktail-level attire is encouraged. Vibrant colors and artistic patterns inspired by an Italian escape are welcome. Please keep the historic stone pathways in mind when choosing footwear. As temperatures cool after sunset, we recommend bringing a light layer such as a wrap, shawl, or lightweight jacket. Suggested options include cocktail dresses, elegant midis or maxis, statement jumpsuits, tailored trousers or lightweight suits, and footwear suited for uneven cobblestones such as block heels, wedges, refined flats, or dress shoes.

  As of October 12, 2025, U.S. citizens will need to go through the EU’s new Entry and Exit System when traveling to 29 European countries. This applies to any visits lasting up to 90 days within a 180-day period. Your fingerprints, facial image, passport details, and entry and exit dates will be collected upon entry to an EES country and stored digitally. If you’re unable to participate in the President’s Club trip, there is no alternate award available. The only option is attending Club with the group at the designated location over the specified event dates. 

This year, attendees will be booked in the premium economy cabin or equivalent when available. Balboa will provide options for travelers to review prior to booking.

This upgraded class of service typically includes complimentary baggage, priority boarding, more legroom, wider seats and hot meals. Additional options vary. Business class is not permitted; however, if you would like to use personal points or payment to make an upgrade, please arrange this directly with the airline. 

Airlines may have different offers for certain routes. Please note that Balboa will work with each traveler individually to ensure a comfortable experience is secured.

The expense limit for meals on travel days only is €100.00 per person (€400.00 including 2 days with a guest), and can be expensed to T&E in your own cost center.  See as per below, instructions how to submit:

As a President’s Club 2026 attendee, hotel accommodations (room and tax) are arranged for you and are billed directly to the Club program cost center for Thursday, May 7 - Monday, May 11, 2026. 

All attendee Club 2026 air travel is paid for and must be booked through Balboa Travel.

The President’s Club program covers your hotel room, breakfast in the dining room daily, some evening events and two activities per person. For details, please refer to the Agenda. 

Upon arrival, you will be given a €600 Mastercard Gift Card for extra meal, drink, and activity expenses during the weekend. Expenses incurred beyond the €600 should be paid for by personal credit card and are not reimbursable.  

MEALS: For the meals covered during the program, please refer to the Agenda.

Any Room Service orders while at the resort will be at your own expense and charged as an incidental. For any meals not covered, you may use your Mastercard Gift Card.

TRANSPORTATION: As noted earlier, you are able to expense transportation to and from your home airport. 

Transportation to and from the Castelfalfi Hotel will be arranged for you. Alternate means of transportation (rental cars) are not reimbursable.

Upon completing registration, you will receive an invitation from Balboa Travel to book your flights. Please note that you must book you and your guest’s travel through Balboa and all air travel must be booked by Monday, March 30.

Balboa will choose the best and lowest economical route from your HOME airport. Choice of connecting cities, layovers or extensions will not be allowed.

When you complete the registration form, you will be asked from which city you and your guest are departing from and returning to. Balboa Travel will book your flights accordingly. Docusign will arrange flights for you and your guest to fly from your respective cities directly to either Florence or Pisa. If you wish to travel together, please have your guest arrange their own travel to your city. This travel segment is not reimbursable.

If the changes are due to business conflicts, contact our Travel Agency, Balboa Travel, to request the required changes. Docusign will cover the cost of your changes.

Any incidental charges (room service, spa reservations, etc.) will be billed to your personal credit card, which is required upon hotel check-in.

You will receive a Mastercard Gift Card in the amount of €600.00. This can be used at any time during your stay, on or off property. This will expire in 1 year.

Upon check-in, you will need to provide a personal credit card to cover all incidentals charged to your room during your stay. Incidentals may include Room Service, Spa Treatments, Fitness Classes, etc.

When you check in at Castelfalfi, the hotel will authorize €200.00 (per room, per day) on your credit card. The authorized amount will not affect your credit utilization. The credit card hold will be removed 24 hours after check-out. If outstanding incidental costs are settled upon check-out, the deposit amount will be fully refunded.

Pre and post extensions for leisure are not encouraged, and will be at your own expense.
