Know Before You Go

  • The Riviera Maya in Playa del Carmen is located in the state of Quintana Roo, about 45 minutes south of Cancún. Often referred to simply as “Playa,” it is a vibrant coastal city situated along Mexico’s Riviera Maya on the Yucatán Peninsula. Renowned for its stunning white-sand beaches and turquoise waters, it seamlessly blends natural beauty, cultural richness, and modern amenities, making it a compelling destination for travelers seeking both relaxation and adventure along Mexico’s Caribbean coast.

  • Check-in begins at 3:00 pm on Wednesday, May 7 and the first official President’s Club 2025 event is the opening reception from 6:00 - 9:00 PM EST. When booking your air travel, please try to arrive in Riviera Maya by 2:00 pm EST on May 7, allowing plenty of time for transportation to the Hotel (the airport is a 45 minute journey and 50 kilometers to the Hotel). Transportation will be provided and details will be shared closer to the event. The Kanai development is a gated community and the guards will grant access to reach The Riviera Maya EDITION.  

  • Mexico has implemented a departure tax for anyone entering the country. This tax has been implemented for the purpose of contributing to the maintenance and preservation of Quintana Roo’s attractions.

    You must pay the Visitax before you enter Mexico to avoid potential delays or issues at the airport. Ensure that all information provided during the payment process matches your travel documents to prevent discrepancies.

    Please review the following steps to Complete Visitax Payment:

    Access the Official Visitax Portal:
    - Navigate to the official Visitax website: https://www.visitax.gob.mx/sitio/.

    Provide Required Information:
    - Full Name: As it appears on your passport.
    - Date of Departure: The date you plan to leave Mexico.
    - Number of Travelers: Total count of individuals in your group.
    - Passport Number: For each traveler.

    Make the Payment:
    - The tax amount is 283 Mexican Pesos [this amount will fluctuate to reflect your local currency] per person.
    - Payments can be made using a credit or debit card through the secure payment gateway on the Visitax website.

    Obtain and Save Your QR Code:
    - After successful payment, a QR code will be generated via a .pdf attachment
    - Please download this QR code on your phone and/or print a copy, as it serves as proof of payment.

    At the Airport:
    - Upon arrival, airport officials may request to see your Visitax payment confirmation (the QR code).
    - Having the QR code readily accessible will facilitate a smooth exit process.

    Expense Report:
    * Remember to add this receipt to your expense report.

  • As you prepare for your trip, here’s a guide to help you pack appropriately for the weather, activities, and special events. May in Mexico will be warm, with plenty of time spent by the beach and pool, so comfort and breathability are key.

    Daytime: Casual & Lightweight
    During the day, you’ll want to wear cool, comfortable clothing that allows you to enjoy the sun and outdoor activities. Swimsuits and cover-ups shorts, lightweight dresses, and breathable tops, sandals, flip-flops, or other comfortable footwear and sunglasses for added protection.

    Welcome Reception: Festive & Relaxed
    The welcome reception is a fun and lively gathering. Dress for the occasion in attire that is polished yet relaxed. Suggested options include: Sundresses, linen pants or skirts, short-sleeve button-down shirts, polos, or blouses. Dressy sandals, loafers, or casual flats.

    Closing Gala: Elevated Beach Attire
    The Closing Gala will take place under a tent on the beach. The atmosphere is refined but not overly formal, so opt for elegant yet practical attire. Keep in mind that the sandy setting makes appropriate footwear essential. Suggested options include: Maxi dresses, jumpsuits, or breezy cocktail dresses, lightweight dress pants, linen slacks, or dressy shorts with a button-down shirt. Flat sandals, wedges, or dress shoes that won’t sink into the sand.

    Language: Spanish is the official language, though English is widely spoken in tourist areas.

    Travel Requirements: Each origin country has different requirements, so please check out the US Department of State and sherpa websites for specifIc information about your Passport and country.

    Visa / Passport: Your travel may require a visa and or passport. Information & resources to obtain your passport or visa can be found here through CIBTvisas, who may be reached via phone at +1-800-929-2428.

    Vaccinations: For vaccination recommendations and requirements, please check the CDC website or similar governing body.

    Electrical: Mexico uses 110 Volts [Type A + B plugs]

    Currency: Mexican Peso (MXN). U.S. dollars are widely accepted in tourist areas, but pesos are preferred for local transactions. Should you need to exchange your money to the local currency, you may do so at The EDITION. For the latest exchange rates, please visit Xe Currency Converter.

    Smoking: Mexico’s government has implemented a smoking ban in public places, which includes restaurants, bars, hotels, shopping malls, beaches, and parks as part of the country's General Law for Tobacco Control reform.

  • Mexico is generally safe for tourists, but exercise common sense by avoiding displaying valuables, staying in well-lit, busy areas, especially at night, and being cautious of rip currents at the beach. We recommend that you stay hydrated and drink bottled water to avoid stomach issues.

✨ Rio Secreto Nature Reserve

Explore one of the most incredible natural marvels found in the Riviera Maya. Walk and swim an easy 600-meter route within the thousands of calcified stalactites and stalagmites found in this protected natural reserve. You will descend to a subterranean cavern to discover stunning rock formations, which slowly developed over centuries, as you drift on a Secret River. Be transformed by this ancient, magical & subterranean world that has remained unexplored for millions of years.

    What to bring: Wear a bathing suit, comfortable walking shoes, extra money for souvenirs or pictures.

    • Requires skill to drive automatic vehicles.

    • The use of the machines is the responsibility of the customer, all damages caused and / or repair costs must be covered by the customer.

    • Maximum Weight: Single Basis: 130 Kg / 286 lbs // Double Basis: 100 Kg / 200 lbs per person.

    • This tour is not available for people with severe physical handicaps, heart diseases, nor pregnant women or for people under the influence of alcohol or drugs

    What to bring: Bring a swimsuit, towel, and a change of clothes. Extra money for photos, souvenirs, and additional drinks. Wear a hat, sunglasses, sandals, and light clothing for sun protection. Biodegradable sunscreen. It's recommended to bring a long-sleeve shirt for swimming.

    • Basic swimming skills are required for snorkeling

  • The 2025 President’s Club event will take place at The Riviera Maya EDITION. This luxury resort sits on a 620-acre nature reserve with two miles of pristine white-sand beaches and rises from a forest of mangroves and tropical flora. The Riviera Maya EDITION introduces a completely new concept of sustainable luxury to the Caribbean coastline. Designed with a minimal environmental footprint to protect and preserve the Kanai ecosystem, the ancient Mayan land delivers nothing short of its name, meaning “Paradise on Earth.”

When booking your air travel, please try to arrive in Riviera Maya by 2:00 pm EST on May 7, allowing plenty of time for transportation to the Hotel (It is a 45-minute journey to the Hotel via shuttle). Transportation will be provided and details will be shared closer to the event. The Kanai development is a gated community and the guards will grant access to reach The Riviera Maya EDITION. If you arrive later due to flight schedules, our Team will be ready to welcome you at the Registration Desk.

    DEPARTURES: President’s Club 2025 ends with the closing celebration on the evening of Saturday, May 10. Departures begin anytime on Sunday, May 11, 2025. It is suggested to be at the airport 2 hours and 30 minutes ahead of your flight, plus the 45 min driving time. Therefore, we recommend that you leave The Riviera Maya EDITION at least 3 hours and 15 minutes ahead of your flight departure.

    NOTE: Should you deviate from these parameters, you will be responsible for any expenses including but not limited to fare differences, hotels, transfers, meals, etc. Under the Docusign benefits package, employees are only covered for the travel dates of May 7-11, 2025.

We will also send regular emails to keep you informed throughout the program.

  • We are excited to announce that we will be utilizing a mobile app for all attendees to connect, share photos, and ask questions. It will also house important information about activities, shuttle transportation, restaurants, and more.

  • If you’re unable to participate in the President’s Club trip, there is no alternate award available. The only option is attending Club with the group at the designated location over the specified event dates. 

  • Docusign will be providing payment for your flights on the lowest logical economy airfare. Business class is not permitted; however, if you would like to use personal points or payment to make an upgrade, you can arrange this directly with the airline. 

    Airlines that have an additional cost for a seat assignment for you and your guest in the same economy cabin may be arranged through Balboa Travel. The limit for an assigned seat in the economy cabin is $75 per person and cannot be used as part of an upgrade.

  • The expense limit for meals on travel days only is $100.00 per person ($400.00 including 2 days with a guest), and can be expensed to T&E in your own cost center.  See as per below, instructions how to submit:

  • As a President’s Club 2025 attendee, hotel accommodations (room and tax) are arranged for you and are billed directly to the Club program cost center for Wednesday, May 7 - Sunday, May 11, 2025. All attendee air travel for Club 2025 must be booked through Balboa Travel.

  • Please expense reimbursable travel charges to the President’s Club 2025 cost center. Keep all receipts, which will be required for reimbursement when submitting an expense report. Any expenses incurred outside of the event dates will not be reimbursed.

    Examples of reimbursable expenses include:

    BAGGAGE FEES:
    Docusign will cover 1 checked bag per Qualifier and per Guest. This includes a fee of $50 for domestic flights and $75 for international flights. Baggage fees should be expensed to your department using Concur for your roundtrip to and from Riviera Maya. Note: If not included at the time of booking, baggage fees are typically required to be paid at the time of check-in for your flight.

    • 1 checked bag per Qualifier

    • 1 checked bag per Guest

    MEALS: You are able to expense meals for you and your guest while in transit only. For meals covered during the program, please check out the Agenda. Any Room Service orders while at the resort will be at your own expense and charged as an incidental.

    TRANSPORTATION: You are able to expense transportation to and from your home departure airport. Transportation will be arranged for you to and from the Hotel. 

    VISITAX:
    The Visitax collected will be covered by Docusign. Qualifier and Guest must each have a receipt and submit expense via Concur:  

    • Expense Type: “Passport/Visa Fees”

    IN-FLIGHT WIFI:
    Internet connectivity onboard flights, in hotels, airports, and other public places while traveling on behalf of the Company is reimbursable for the Qualifier only, and should be submitted via Concur:

  • Your travel may require a Visa and/or Passport. Information & resources to obtain your passport or visa can be found here through CIBTvisas, who may be reached via phone at +1-800-929-2428.

    For those requiring a valid Visa for Mexico, we urge you to apply for a Visa now, as wait times in many embassies/consulates are extremely backlogged.

    Docusign is unable to provide invitation or business travel letters for non-employees and will reimburse the qualifier only for Visa fees.

  • Mexico has implemented a departure tax for anyone entering the country. This tax has been implemented for the purpose of contributing to the maintenance and preservation of Quintana Roo’s attractions. You must pay the Visitax before you enter Mexico to avoid potential delays or issues at the airport. Ensure that all information provided during the payment process matches your travel documents to prevent discrepancies.

    Please review the following steps to Complete Visitax Payment:

    Access the Official Visitax Portal:
    - Navigate to the official Visitax website: https://www.visitax.gob.mx/sitio/.

    Provide Required Information:
    - Full Name: As it appears on your passport.
    - Date of Departure: The date you plan to leave Mexico.
    - Number of Travelers: Total count of individuals in your group.
    - Passport Number: For each traveler.

    Make the Payment:
    - The tax amount is 283 Mexican Pesos [this amount will fluctuate to reflect your local currency] per person.
    - Payments can be made using a credit or debit card through the secure payment gateway on the Visitax website.

    Obtain and Save Your QR Code:
    - After successful payment, a QR code will be generated via .pdf
    - Please download this QR code on your phone and/or print a copy, as it serves as proof of payment.

    At the Airport:
    - Upon arrival, airport officials may request to see your Visitax payment confirmation (the QR code).
    - Having the QR code readily accessible will facilitate a smooth exit process.

    Expense Report:
    * Remember to add this receipt to your expense report.

  • Docusign travel insurance covers Qualifiers only for the event dates of May 7- May 11, 2025. If you deviate from these parameters, you will not be covered. Guests will be required to purchase their own travel insurance directly through the airline, which is non-reimbursable.

  • Upon completing registration, you will receive an invitation from Balboa Travel to book your flights. Please note that you must book you and your guest’s travel through Balboa and all air travel must be booked by Friday, March 28.

    Class of Service:   All air travel must be booked in Economy class. Business and Premium Economy flights are not allowed, however travelers may pay for their own upgrades. Please explore your options with the travel agency. 

    Docusign will provide payment to Balboa Travel for all attendee fares.

  • When you complete the registration form, you will be asked from which city you and your guest are departing from and returning to. Balboa Travel will book your flights accordingly. Docusign will arrange flights for you and your guest to fly from your respective cities directly to Cancún. If you wish to travel together, please have your guest arrange their own travel to your city. This travel segment is not reimbursable.

  • If the changes are due to business conflicts, contact our Travel Agency, Balboa Travel,to request the required changes. Docusign will cover the cost of your changes. 

    Should you need to make changes due to your personal schedule, you will be responsible for all additional costs, change fees, etc. You will need to provide a personal credit card for payment. Therefore, please carefully review your itinerary for accuracy before confirming.

  • The President’s Club 2025 Event Policy allows for ONLY standard economy class booking, regardless of length and time of travel from your home location to Cancún. 

    Feel free to work with the airline directly should you desire to upgrade your seats at your own cost. Frequent Flier mileage upgrades must be arranged directly with the airline after the tickets are confirmed.

    Upon arrival at The Riviera Maya EDITION, the hotel will authorize $200.00 (per room, per day) on your credit card. The authorized amount will not affect your credit utilization. The credit card hold will be removed 24 hours after check-out. If outstanding incidental costs are settled upon check-out, the deposit amount will be fully refunded.

  • Docusign has made prior arrangements to provide gratuities to The Riviera Maya EDITION porterage and housekeeping staff. You do not need to tip staff, but you are welcome to if you feel compelled. The standard tipping amount in Mexico is 10%. If you get exceptionally good service, say thank you with a tip closer to 15-20%.

  • All Doscusign employees have access to iSOS, which is an emergency medical aid, security support, and global evacuation servicer. Employees can find more information on the iSOS hubpage. The phone number you can call is  +1-215-942-8226. If you download the app, you'll be able to click to call directly from the app as well.

    If you’re feeling sick during your Hotel stay, a doctor is available at the hotel from 9 AM to 5 PM. After that, he is on call, and the response time is a maximum of 20 minutes. An ambulance is available 24/7.

  • Shuttle service in Cancún will be pre-arranged for you to and from the Hotel on the group arrival and departure dates (May 7 + May 11).
